Configuring Multiple Email Accounts in Outlook 2007

  1. Open Microsoft Outlook
  2. Go to Tools > Account Settings



  3. Click 'New...' (on the E-mail  tab)



  4. Tick 'Manually configure server settings or additional server types'

    Then click Next...



  5. Ensure 'Internet E-mail' selected and click Next



  6. Enter your name as you would like it to appear the the 'From' column in your recipient's email program.

    Enter the ALIAS email address this is NOT your primary address which you use for logging into web mail.

    Select POP3 for Account Type

    Enter mail.snorkelit.co.uk for both Incoming and Outgoing mail servers

    Your user name is your PRIMARY email address, NOT the one you just entered

    Enter your password (given to you by your Snorkel IT representative)

    Check 'Require logon using Secure Password Authentication (SPA)'

    Make sure to click 'More Settings' button. NOTE: Failure do perform this step will prevent you being able to send/receive email



  7. On the Outgoing Server tab check 'My outgoing server (SMTP) requires authentication', making sure 'Use same settings as my incoming server' is selected.



  8. On the Advanced tab, check 'This server requires an encrypted connection (SSL)', this should automatically change the POP3 port to 995. If not, manually enter 995.

    Enter 587 for Outgoing Server (SMTP) port number and select TLS from the drop down. NOTE: Older versions of outlook dont have TLS - click here

    Click OK to close the dialog



    [Note: Earlier versions of Microsoft Outlook don't have a drop down, and instead have another check box called 'This server requires an encrypted connection (SSL)', if using such a version simply check this instead - See below...]



  9. Finish the wizard, there is no need to test the connection at this stage.

  10. From the main menu select Send/Receive > Send/Receive Settings > Define Send/Receive Groups



  11. Make sure 'All Accounts' group is selected and then click Edit



  12. For each of the additional (alias) email account make sure to un-check 'Receive mail Items', ensuring the primary email account is not changed. 



  13. Click OK followed by Close until you're back in the main Outlook Window

    Then Press F9 or from the main menu select Tools > Send/Receive > Send Receive All

    You should then see a screen similar to the one below. Please make sure that your primary account has TWO rows, one for sending and one for receiving. Any additional (alias) accounts you have should only have ONE sending row.

    (you might need to repeat this step a few times as depending on the speed of your internet connection the screen may only be visible for a few seconds)



  14. The final step is to compose an email from an additional (alias) account. This is done in the normal way, however in Outlook 2007 (see below) you have an 'Account' drop down allowing you to select the from address. Note: In earlier versions there will be a 'From' field which will allow you to select which account to use.



 

Configuring multiple email addresses in Zimbra (Web Mail)

  1. Login to Zimbra using your primary email account, and select Preferences from the top menu



  2. Select Accounts from the left menu



  3. Click Add Persona



  4. Enter a name for the persona. This will be displayed to you when choose 'who to send as' when composing emails

    Enter the name you would like to appear in the 'From' field in your recipients email program.

    From the drop down list select the additional (alias) email you wish to configure.

    NOTE: If the drop down doesn't contain an address you think it should, contact your Snorkel IT Representative who will be able to add it.

    Finally make sure to select 'Use this Persona when replying to forwarding messages sent to:' and then enter the email address you just selected in the drop down. This will ensure that when you click 'reply' in an email sent to this 'alias' account it will go out 'from' the right address, otherwise it may default to your primary address.

    (Optionally select a signature to use for this persona, this is recommended as it will help ensure you're sending from the 'correct' account!!)



  5. Click 'Save' at the top, this should return you to your inbox screen.



  6. The last step is to compose a new mail from your additional (alias) account. Do this in the normal manner, however as with Outlook an 'Account' drop down should be visible. Make sure to select the correct account.
